The real cost of phone screening: 200 applicants, 40 calls, 3 lost days

Post one decent job in 2026 and two hundred applications arrive in a week. Everyone in recruiting knows this number is absurd, and everyone has quietly accepted the workaround: don't actually screen most of them.

The napkin math

A competent phone screen takes about 20 minutes: 15 on the call, 5 writing notes. Screen forty candidates (a typical shortlist from two hundred) and that is 13+ hours of pure calling, spread over roughly three working days once you add scheduling, no-shows, and time-zone Tetris. For one role.

Now the uncomfortable part: those forty were picked by skimming CVs for about thirty seconds each. The other one hundred sixty people were rejected on a skim, including, statistically, some of your best candidates who simply wrote a modest CV.

Screening cost for one role, worked example

An illustration using the assumptions above, not measured results.

  • 13 hours of recruiter time per role at $35 to $60 an hour is $455 to $780
  • Multiply by 3 to 5 concurrent roles and it is most of a recruiter's week
  • Coverage is 40 of 200 heard, so 80% are never screened at all

Why the usual fixes don't fix it

Keyword filters reject for phrasing, not ability. One-way video shifts the burden to candidates and still leaves you watching hours of recordings. Shorter screens just measure less. None of these change the underlying constraint: a human can only be in one conversation at a time.

What changes when screening scales

Live AI voice screening breaks the constraint. Every applicant, all two hundred, gets a real conversation: your questions, real-time follow-ups on interesting answers, a transcript, and a score. Overnight. The recruiter's job shifts from making first calls to reviewing ranked results: read ten summaries over coffee instead of dialing forty numbers over three days, then spend the recovered time on the interviews that actually decide the hire.

In the worked example above the math inverts: screening coverage goes from 20% to 100%, and first-screen recruiter time drops from around 13 hours to around 1. And, this is the part we care most about, the one hundred sixty people who used to get silence get a real conversation and a faster answer.

That is the product we build. If your screening math looks like the napkin above, run your next role through InstaCruit free with three AI screening interviews on us.
